Process for Initiating a Registered Closing Search

In this article we will be looking at how to perform a Closing Search – Registered one step at a time and where you can find the results of the search.

  1. To perform this search please click on the See new Web Apps option from the Keyhouse application.image.png
  2. This will open a new browser window where you will find the Legal Searches option. Clicking on it will open the different search options that are available.image.png
  3. Select the appropriate search solution by clicking on that. Today, we will be concentrating on a Closing Search – Registered. Click on Let’s go to commence with the search process.image.png
  4. To search for a client, first click the magnifying glass icon. Then, enter either the client’s name or matter code into the search bar and click the magnifying glass icon again to initiate the search.
    NOTE: When accessing Legal Searches from within the application, the details of the case you were viewing in Keyhouse will automatically populate the Reference field application.image.png
  5. From the list click on the name of the client and then click on Select.image.png
  6. There are three searches that you can perform from this page – Land Registry Folio, Judgement/Bankruptcy & Personal Insolvency (ISI) searches or a CRO. You get an instant report for these three searches.image.png
  7. To process a Land Registry Folio search, click on the small box next to the search and then click on Next.image.png
  8. Here you need to enter the Folio number and then click on Add. You can add multiple Folio numbers on this page.
    NOTE: If the folio number has already been entered in the Extra Case Details section in Keyhouse, the system will automatically populate this field with that number.image.png
  9. This brings up all the details related to that Folio number including the area map. Now click on Submit.image.png
  10. To process a Judgement/Bankruptcy & Personal Insolvency (ISI) search click on the small box next to the search and then click on Next.image.png
  11. Here, you can choose whether to perform an Exact Search.
  • If you select Yes, the system will search only for the exact name entered.
  • If you select No, a broader search will be performed, returning results that include variations of the name: For example, searching for Anne Marie may also return Anne Stephanie Marie.
    You can also narrow down the results by selecting the Include Last Five Years Only checkbox, which limits the search to that time frame.image.png
  1. Enter all the relevant information like the Personal Information or the Company Search. When you click on Add, you get a banner on the top right of the page stating that the information has been added successfully.image.png
  2. To process a CRO search, click on the small box next to the search and then click on Next.image.png
  3. Enter the name of the company and then press enter. Once you get the name of the company click on the checkbox next to the name and then click on Submit.image.png
  4. Once you have selected all the searches that you want to perform click on Submit.image.png
  5. This screen displays the order details, including the names of the search and the associated charges. Click the down arrow to view all the searches you’ve selected.
    Once you’ve reviewed the information and confirmed everything is correct, click Place Order to proceed.image.png
  6. You can also save the search if you don’t want to perform the search right then by clicking on Save Draft.image.png
  7. You can tick the Search Agent Review Required checkbox if you would like a manual review by our team. This means a staff member will verify the search results and associated costs before they are submitted to the Case Diary within the application.
    NOTE: When clients are initially set up with Legal Searches, this option is enabled by default to ensure accuracy during the onboarding phase. Once the firm is familiar and confident with the process, we will disable this setting from the backend.image.png
  8. Once the search is complete, the results will be displayed, and you’ll have the option to download or email them directly from the results screen.
    Additionally, an automatic email containing the search results will be sent to the user who initiated the search.image.png
  9. You can also view the search results directly within the application. To do this, click on the application, select the relevant case, and then go to the Case Diary.
    Here, you’ll find the search results along with the invoice, both automatically added to the case.image.png
  10. You will also see the results of the search added to the Document Manager.image.png
  11. Click on A/c Ledger and here you will also find a copy of the invoice already present.image.png
